Events Manager

Events manager career image

Career summary

An events manager plans and runs events. These can be conferences, weddings, product launches, year-end functions, sports days, festivals or government ceremonies. You turn a client's idea into a plan, find the venue and suppliers, set the budget, and then make sure everything happens on the day, exactly as promised.

Most of the work happens weeks or months before the event. You answer enquiries, write quotes, sign contracts, book caterers, sound crews and décor, and build a detailed run sheet. On the day you are on your feet, solving problems, directing staff and looking after guests. Afterwards you pay suppliers and check what went well.

Start with a higher certificate, diploma or degree in event management, then work up from assistant or coordinator. We found no register for events managers, but the Safety at Sports and Recreational Events Act covers events at stadiums or venues certified for 2 000+ people, and races or processions along a route. The job suits organised people who stay calm under pressure and do not mind evenings, weekends and holidays.

A Day in the Life

This example day follows an events manager at a conference and function venue, two days before a big corporate dinner. Times are an example, built from real South African job adverts.

  1. 08:00

Check enquiries and quotes — Read new enquiries from companies and couples. Send quotes, follow up on ones you sent last week, and update the bookings diary. Selling events is part of the job at many venues.

  2. 09:30

Supplier calls — Confirm the caterer's menu numbers, the sound and lighting crew's arrival time and the décor delivery. One supplier is late with a quote, so you chase them.

  3. 11:00

Site visit with a client — Walk a client through the venue for an event next month. Show them the rooms, talk about seating, parking and power, and note everything they ask for.

  4. 13:00

Budget and invoices — Check supplier invoices against quotes and the client's budget. Every extra cost must be agreed and recorded before you approve a payment.

  5. 14:30

Run sheet and safety plan — Finish the minute-by-minute run sheet for the dinner. Check the safety plan, emergency exits and who is responsible for what on the night.

  6. 16:00

Team briefing — Brief the events coordinator, the floor staff and the casual waiters. Everyone must know their job, their times and who to call when something goes wrong.

  7. Event night — You arrive before the set-up crew and leave after the last guest. You fix problems quietly, look after the client and make sure the breakdown is done properly.
